Introduction

Welcome to the registration form for NGSchool2025 (https://ngschool.eu/ngschool2025/) that will be held in March 2025 in Otwock, Poland.

This form consists of the following sections:

  1. Personal info
  2. Motivation
  3. Bioinformatics
  4. Statistics
  5. Coding
  6. Bursary application

Motivation section is here to help us assess your motivation and how much you will benefit from this summer school, while Bioinformatics, Statistics and Coding sections have two aims: (1) to show you what type of knowledge and skills you may work on while preparing for the school and (2) to get a general idea of how well versed in each of those you are.

We estimate it should take approximately 2 to 3 hours to fill out the entire form, but you don't have to complete it in one go. As long as you sign in with the same social media account and save each section, your progress will be saved and you will be able to continue where you previously left off, as well as modify all your responses. Once you submit the form, you will no longer be able to modify your responses.

The deadline to submit your application is 2024-12-23 (December 23rd) at 23:59 (UTC timezone). Selection results will be announced at the end of January.

Registration fee

The registration fee for the selected participants will be 180 euros for academia and 400 for industry. This fully covers the costs of accommodation and boarding during the school.

We try to make our events accessible and affordable for all and keep the registration fees to a minimum. However, we understand that in some circumstances covering the costs of participation in our event can still be challenging. We don’t want money to be a limiting factor in anyone’s participation, so we will provide financial support for several selected participants, primarily based on their socioeconomic status, while the funds last. We can offer two types of support:

  • Travel grant to help you cover the cost of your travel to the event's venue.
  • Fee discounts or waivers, directed to those participants who cannot get their fees covered by their home institutions.

Both types of support will be preferentially granted to participants from academia (students, PhD candidates, and faculty staff), but applications from industry will be considered, too. If you wish to be considered for a travel grant, fee discount/waiver, or both, make sure to fill in the Bursary section of the application form, explaining your situation. We will try our best to help you.

For participants applying from Russian institutions

NGSchool condemns the aggression against Ukraine in the strongest possible terms and stands in solidarity with our colleagues in Ukraine. Since Russian Universities publicly supported the war we are unable to accept participants affiliated with those institutions. However, we note that many Russian academics, at great personal peril, have publicly criticised this invasion. We would like to support all those harmed by Putin’s regime and therefore extend our invitation to Russian academics and students provided they will come as individuals, without affiliation. We will not be able to accept payments for registration fees from Russian universities and companies and will not be able to provide receipts to those organisations.

Personal data processing and storage (GDPR)

In accordance with EU General Data Protection Regulation (GDPR) adopted on 14 April 2016, and enforceable beginning 25 May 2018 we are required to seek your permission to process and store your personal data. We only use your personal data for the registration and attendance selection procedures, sending emails and running our alumni webpage. For those purposes, we are using the following information: e-mail, name, position, country of residence and others given in the registration form.

In reference to the above, we ask you to read the following agreement for processing and storing your personal data.

Consent to personal data processing and storage

I hereby express my consent to the processing and storage of my personal data given by me in the registration form for the NGSchool Society event.

I hereby acknowledge, that my personal data will be processed in accordance with applicable law and that:

  1. NGSchool Society is acting as an administrator of the given personal data.
  2. My personal data will be processed and stored in order to conduct registration and attendance selection procedures, send emails and run the NGSchool Society alumni webpage.
  3. My personal data will be stored and processed for the intended purposes as long as the NGSchool Society is operating or until I withdraw my consent. Withdrawing the consent will not affect the legality of data processing and storing that had taken place before.
  4. I have the right to access, edit and delete my given personal data at any time. I also have the right to withdraw my consent at any time.
  5. I have the right to take legal action if I recognise that processing and storage of my given personal data infringes applicable law.

Code of Conduct

NGSchool Society is dedicated to providing a harassment-free experience for everyone, regardless of gender, gender identity and expression, age, sexual orientation, disabilities, physical appearance, body size, race, ethnicity, religion (or lack thereof), or technology choices. We want all participants, organizers, reviewers, speakers, sponsors, and volunteers at the NGSchool events to learn, benefit and enjoy them worry-free. We do not tolerate harassment in any form!

All are required to agree with this code of conduct both during the event and on official communication channels, including social media. The organizers will make sure to take appropriate actions to ensure everyone feels welcomed - including expulsion in case of repeated violations of the Code of Conduct.

All event participants agree to:

  1. Be considerate in speech and actions, and respect the boundaries of fellow participants.
  2. Refrain from demeaning, discriminatory, or harassing behaviour and speech. Harassment includes, but is not limited to:
    • Stalking,
    • Deliberate intimidation,
    • Unwanted photography or recording,
    • Sustained or willful disruption of talks or other events,
    • Use of sexual or discriminatory imagery, comments, or jokes,
    • Offensive verbal comments related to age, gender, sexual orientation, disability, race or religion,
    • Inappropriate physical contact, which can include: grabbing, massaging or hugging without consent,
    • Unwelcome sexual attention, which can include inappropriate questions of a sexual nature, asking for sexual favours or repeatedly asking for dates or contact information.
  3. Alert a member of the organising team if they notice someone in distress, or observe violations of this Code of Conduct, even if they seem inconsequential.

If you are asked to stop harassing behaviour you should stop immediately. Even if your behaviour was meant to be friendly or a joke, it was clearly not taken that way and for the comfort of all attendees you should stop.
